Travel Planning Service Agreement

Moments Ahead Effective Date: Upon booking Last updated: April 2026

By purchasing a service from Moments Ahead, you confirm that you have read, understood, and agreed to the terms of this Agreement.

1. Nature of Services

Moments Ahead provides custom travel itinerary planning services including research, organization, and personalized travel recommendations.

Services are delivered as a digital itinerary and planning guide.

Moments Ahead operates as an independent travel planner and does not act as a travel agency, tour operator, or booking agent.

Services do not include live travel assistance, emergency support, or on-call travel coordination.

The date selected at booking represents the itinerary delivery date, not a meeting or consultation.

2. Service Packages

The Long Weekend — $125

  • 1 to 4 days

  • One destination

  • Custom day-by-day itinerary

  • Curated recommendations for accommodations, dining, and experiences

  • Booking links

  • Custom map

  • One revision round

  • Book at least 10 days in advance

The Getaway — $225

  • 5 to 7 days

  • Up to two destinations

  • Custom day-by-day itinerary

  • Curated recommendations for accommodations, dining, and experiences

  • Booking links

  • Custom map

  • One revision round

  • Book at least 14 days in advance

The Journey — $375

  • 8 to 14 days

  • Up to three destinations

  • Custom day-by-day itinerary

  • Curated recommendations for accommodations, dining, and experiences

  • Booking links

  • Custom map

  • One revision round

  • Book at least 30 days in advance

Extended Travel Planning — Custom Pricing

  • 15 or more days

  • Multiple destinations

  • Custom pricing based on trip complexity and scope

  • Two revision rounds included

  • Quote provided within 48 hours of inquiry

3. Services Not Included

Unless explicitly stated as a paid add-on, flat-rate planning services do not include:

  • Booking flights, hotels, tours, or transportation

  • Managing reservations after booking

  • Price monitoring or fare tracking

  • Real-time travel support during the trip

  • Emergency travel assistance

  • Visa or passport processing

  • Travel insurance purchase or claims

  • Additional destinations beyond the package scope

  • Major itinerary changes after final delivery

  • Budget management

  • Vendor dispute mediation

4. Payment Terms

All services must be paid in full at the time of booking.

Planning work begins once payment has been received and the client intake questionnaire has been completed.

Payment secures a reserved planning window and project time.

5. No Refund Policy

All services are non-refundable.

Due to the customized and time-based nature of travel planning, refunds will not be issued once payment has been made.

By purchasing services, the client agrees not to initiate chargebacks, payment disputes, or refund requests.

6. Chargeback and Payment Disputes

By purchasing services from Moments Ahead, the client acknowledges that:

  • This is a digital planning service, not a physical product

  • Work begins upon booking confirmation

  • Chargebacks or payment disputes constitute a breach of this Agreement

Moments Ahead reserves the right to pursue collection of unpaid service fees and associated costs if a chargeback is initiated.

7. Client Responsibilities

The client agrees to:

  • Provide accurate and complete travel details via the intake form

  • Complete the intake questionnaire within a reasonable timeframe after booking

  • Review their itinerary promptly upon delivery

The client is solely responsible for:

  • Obtaining and maintaining valid travel documents (passport, visa, etc.)

  • Confirming entry requirements for their destination

  • Reviewing health or vaccination requirements

  • Purchasing travel insurance

  • Confirming all reservations directly with vendors

Moments Ahead is not responsible for denied boarding, denied entry, or travel disruptions related to documentation or vendor policies.

8. Revision Policy

Each package includes one revision round (Extended Travel Planning includes two).

A revision round may include:

  • Swapping activities or attractions

  • Adjusting restaurant selections

  • Replacing accommodation recommendations within the same category

  • Minor scheduling adjustments

Revisions do not include:

  • Adding new destinations

  • Changing travel dates

  • Complete itinerary restructuring

Revision requests must be submitted within 5 days of itinerary delivery.

Additional revisions may be purchased for $50 per round.

9. Planning Timeline

Timelines begin once payment is received and the intake questionnaire is submitted.

  • The Long Weekend: 3 to 5 business days

  • The Getaway: 5 to 7 business days

  • The Journey: 7 to 10 business days

  • Extended Travel Planning: 10 to 14 business days

Failure to submit the intake questionnaire within a reasonable time after booking may delay delivery.

10. Third-Party Vendors

Moments Ahead may recommend third-party vendors including hotels, airlines, tour operators, restaurants, and transportation providers.

Moments Ahead does not control these vendors and cannot guarantee availability, pricing, service quality, or operational continuity.

All bookings are subject to the individual vendor's policies.

11. Limitation of Liability

Moments Ahead is not liable for:

  • Vendor cancellations or changes

  • Airline delays or disruptions

  • Weather events or natural disasters

  • Political instability or government restrictions

  • Illness or injury during travel

  • Loss, theft, or damage of personal property

  • Financial losses related to travel disruptions

Clients travel at their own risk.

12. Intellectual Property

All itineraries, planning documents, and materials created by Moments Ahead are the intellectual property of Moments Ahead and are licensed for personal client use only.

These materials may not be reproduced, distributed, resold, or shared for commercial purposes.

13. Client Communication

All communication will be conducted via email at hello@momentsahead.com.

Response times are typically within 1 to 2 business days.

Communication outside the scope of the planning project may require an additional consultation fee.

14. Planning Approval

Upon delivery, the client has 5 days to review and submit their included revision request.

If no revision is submitted within this period, the itinerary will be considered final and approved.

15. Right to Refuse Service

Moments Ahead reserves the right to refuse or terminate services if a client engages in abusive communication, makes unreasonable demands outside the agreed scope, or repeatedly disregards established policies.

In such cases, the project may be terminated without refund.

16. Digital Delivery

All itineraries and planning materials are delivered electronically to the email address provided at booking.

Clients are responsible for downloading and saving their files. Moments Ahead is not responsible for files lost after delivery.

17. Content Accuracy

Travel information including hours of operation, pricing, and availability may change after an itinerary is delivered. Clients are responsible for confirming final details with vendors before and during travel.

18. Governing Law

This Agreement is governed by the laws of the State of Texas. Any disputes will be resolved in the appropriate courts within Texas.

19. Entire Agreement

This Agreement represents the entire understanding between the client and Moments Ahead regarding travel planning services. No verbal statements or prior communications modify the terms of this Agreement.
